Virtual VetDoc is a telemedicine platform built for the U.S. veterinary market, where accessing a vet can be costly and slow. In many cases, pet owners wait days for an appointment, and vets are often booked solid. Yet much of the initial assessment (such as triage, basic advice, and follow-up) can be handled remotely.

By offering quick access to a carefully selected group of licensed, vetted professionals from any location, Virtual VetDoc improves convenience for pet owners while enabling its own veterinary team to handle consultations more efficiently. The platform is designed to provide an end-to-end workflow, from appointment booking and secure payments to medical records and follow-up reminders, all within a single, easy-to-use system.

Challenge

Delivering veterinary telemedicine requires more than video calls. Virtual VetDoc needed reliable scheduling, accurate record-keeping, and payment handling that fit seamlessly into the way their own services operate. In the U.S., where vet time is both expensive and limited, the challenge was to create a system that would be fast, convenient, and scalable, without burdening clinics with unnecessary complexity.

Key challenges included:

Without precise time zone handling, bookings could easily overlap or misalign, leading to missed consultations and frustration for both vets and pet owners.

Without this flow, Virtual VetDoc risked failed transactions or lost revenue, while also making the payment process less secure and convenient for pet owners.

Our Approach & Solution

Building a veterinary telemedicine platform required more than connecting vets and pet owners over video calls. The client needed a system that could mirror the realities of clinical workflows - capturing intake details, managing payments, storing medical records, and ensuring a smooth experience for both vets and pet owners. To achieve this, we broke the project into clear phases that aligned technology with the way Virtual VetDoc’s team actually delivers care.

The approach included:

Phase 1
Discovery & Workflow Mapping
  • Worked with the client to map the entire consultation process, from intake forms and payment workflows to follow-up reminders.
  • Defining how SOAP notes would be structured, ensuring consistent documentation across consultations, and planning modules for tracking medications, vaccinations, and ongoing treatments.

By capturing these workflows early, the platform was shaped around how Virtual VetDoc’s veterinary team actually works, ensuring the technology supported (rather than disrupted) their existing care process.

Phase 2
Design & Build
  • Using Cal.com for flexible, multi-time-zone scheduling with buffer times between appointments
  • Integrating Stripe for secure payment processing, including pre-authorization, post-consultation charges, and refunds
  • Building medical records and appointment tracking fully in-house for full control of sensitive data
  • Outsourcing non-core services like payments and video calls to proven third-party platforms for faster delivery
  • Leveraging open-source components to accelerate development and reduce complexity
Phase 3
Testing & Launch
  • Development didn’t stop at launch. Over the past year, the platform has undergone ongoing maintenance and experimentation, from backend optimizations to multiple separate landing page redesigns aimed at improving conversion rates.

In veterinary telemedicine, the technology is only as effective as the care process it supports. One of the most valuable lessons from Virtual VetDoc’s build was the need to define every step of the remote consultation journey before development began, from intake forms and payment flows to follow-up reminders. By doing this upfront, the platform was shaped around the way Virtual VetDoc’s veterinary team works, rather than forcing them to adjust to the tool.

We also saw the impact of small scheduling details on the overall experience. Handling bookings across multiple time zones, accounting for different appointment lengths, and allowing for preparation time between calls all required careful configuration. Testing these rules with real clinics early on avoided last-minute conflicts and ensured a smooth experience for both vets and pet owners.

Lastly, thinking ahead to future needs proved essential. While features like AI-assisted triage or automated lab result imports were outside the first release, the system was built to accommodate them without major redevelopment. This approach protects the client’s investment and keeps the platform ready to grow alongside the veterinary practices it serves.
